The Tasks section in your email is a feature that helps you keep track of your work. It is typically used to maintain a list of things to do. With tasks, you can prioritize which work to complete first, organize your work efficiently to save time, and prevent important tasks from being forgotten.

How to Add a New Task in Business Email?

  • Access your webmail at https://webmail.domain.extension (adjust according to your own domain).
  • From the toolbar at the top, click the “down arrow” icon next to the “New” button. From the dropdown list that appears, click the “Task” button.

  • In the window that opens, enter a brief summary of the task in the “Subject” field. This way, you can quickly see what the task is about. Example: Send reports to the sales team.

  • Just below the subject line, there is a field where you can write a detailed description of the task. You can include all the details related to the task here, and format your text with options such as bold, italics, or colors.

  • On the right side of the page, there is a “Start and Due Times” section. This section is used for planning and tracking tasks. When enabled, you can set the start time for when the task should begin and the due time for when it should be completed.

  • In the “Reminder” section, you can set a date and time to receive a reminder based on the importance and urgency of the task.

  • If you check “Private Task”, the task you create cannot be shared with or viewed by others. This option is especially preferred for shared calendars or task lists within a team.

  • In the “Priority” section, you can set how urgent or important the task is. You can choose a value between 0 and 10.

  • The “Status” field has 4 options. You can select one of them here:
    • Canceled: Indicates that the task has been canceled.
    • Not Started: Indicates that the task has not yet started.
    • Completed: Indicates that the task has been completed.
    • In Progress: Indicates that the task is currently in progress.

  • Before starting a task and as you work on it, you can update the task’s completion percentage in the “% Complete” field.

  • If you want to attach an image or file to the task, click the “Attach” icon and select the file from your device to upload it.

  • In the “Mark” section, you can categorize your task with colored labels.

  • You can save the task by clicking the “Save” button, or cancel it by clicking the “Cancel” button, which means it will not be saved.

Where Can You View the Task List in Business Email?

  • In the webmail interface, click the “Tasks” button from the top toolbar.

On the page that opens, all tasks will be listed.

  • From the task screen, you can:
    • Sort tasks according to your preferences
    • Filter tasks
    • Choose to view tasks as cards or in a grid
    • You can click on a task to edit it. In the editing screen, the “Delete” button will appear, allowing you to remove any task you wish to delete.

Additional info: The tasks you add will also appear in your calendar. You can view them by clicking the “Calendar” button.
